1. Background

Berghütte Ski Club is a non-commercial private sports club with a history dating back to 1958 when it was founded by a group of enthusiastic Sydney skiers.

Membership is predominately family based with many going back three generations or more.

The Club enables members and their associates to pursue the sport of skiing, snowboarding and other mountain sports and provides friendly, affordable, quality accommodation, governed by a member elected Board of Directors and our onsite Lodge Managers.

2. Definitions

You: For the purpose of these Terms and Conditions, “you” means the person making the booking and all other members and associates of the booking.

3. Health, Safety and Wellbeing

Berghütte Ski Club Lodge Managers and its Directors will take all reasonable steps to promote a safe and healthy environment for our staff, contractors, members, associates and visitors whilst on Berghütte premises.

(a) General

You accept that the health, safety and wellbeing of everyone at the Lodge is a shared responsibility and you will:

  • contribute to a safe, respectful and harmonious environment;

  • advise the Lodge Managers of any incidents or hazards to ensure Lodge equipment and facilities can be maintained to a safe standard;

  • ensure the safe use, handling and storage of any items or equipment in the Lodge;

  • follow all health and safety directions required of you by the Directors, Lodge Managers or their authorised Delegates;

  • disclose to the Directors or their authorised Delegates any known risks, including medical condition(s) to ensure these risks can be managed and reasonably accommodated for your stay at the Lodge.

Smoking is not permitted on Berghütte premises and you agree to pay an additional cleaning charge of a minimum of $500 for smoking in the bedrooms, balconies or common areas. Smoking is not permitted on the front balcony outside the kitchen or in the car park or gardens if they are being used by other members or associates.

The Lodge Managers and the Directors reserve the right to ask you to leave the Lodge for any reason should we consider it is not in the best interest of Berghütte Ski Club. Your remaining accommodation services are non-refundable unless they relate to an infectious medical condition as outlined in this document.

(c) Berghütte emergency information and first aid

On arrival at the Lodge you agree to make yourself aware of Berghütte’s emergency plans, the nearest emergency exit to your bedroom and the location of emergency evacuation diagrams, meeting points and first aid kits.

First Aid: Lodge Managers are first aiders and can be contacted on 0475 825 291.

Emergencies: If you call 000 also call or sms the Managers on 0475 825 291.

First Aid Kit: Located in the Dining Room

Defibrillator: Located in the Ski Room

Emergency Diagrams: Located behind each bedroom door; please locate your closest Emergency Exit when you arrive at the Lodge. 

Evacuation Meeting Point: Banjo Drive towards Kasees Apartments (turn left corner of Banjo Drive and Lantern driveway).

4. Booking Information

(a) General

You must be a financial member of Berghütte Ski Club (i.e. all subscriptions paid) to book Lodge accommodation.

To ensure that we can offer accommodation to all our members, bookings during the ski season are limited to a maximum of two weeks, or a total of 14 days, unless otherwise approved by the Board. You may contact the Board for approval for stays more than two weeks, or a total of 14 days, via our Bookings Team at bookings@berghutteskiclub.com.

The maximum number of members and associates to be accommodated at the Lodge is 34 people per night although the number of beds available may be less and is at the discretion of Berghütte.

During the Winter Season, priority will be given to member's weekly bookings. Weekly bookings are for arrival and departure on Sundays.

Bookings are allocated for beds, not rooms and sharing of rooms between different bookings may occur although prior notice will always be given by Berghütte. At peak times, friends and/or family will be asked to share a room, as will single people of the same gender. You agree that you will not refuse to share a room unless you provide, at the time of booking, a medical certificate stating that you require a single room due to a medical condition.

Beds and rooms are allocated by order of receipt of booking where possible.

A ballot system may take place if bookings exceed the maximum number of tentative bookings.

Accommodation rates / tariffs are subject to change at any time and current tariffs are in the Booking System. Winter booking tariffs include daily breakfast and dinner 6 nights per week (Chef’s night off is usually Wednesday). Summer tariffs do not include meals. Tariffs include bedlinen and charges for cleaning your room and ensuite bathroom.

Tariffs will be charged at the rate in the Booking System at the time of your booking AND if payment is received as per these Terms and Conditions.

(b) Online Bookings, Special Dietary Requirements and Children Under 3 Requests

All booking requests are to be completed by members and paid for online via the Booking System website. In the very rare event that you cannot access the online Booking System, then a booking request can be made to the Lodge Managers on 0475 825 291.

When making your booking, you agree use the notes space in the Booking System to advise Berghütte of any special dietary requirements of all the people on the booking. Without prior notice we may not be able to cater to your needs. The Chef will do their best to accommodate your request, noting this may not always be possible, especially during peak periods.

You are also required to advise any children under age 3 staying in your room who do not require a bed and are therefore free of charge. Bookings for children under 3 that require a bed may incur an additional charge.

(c) Tentative and Confirmed Bookings

Tentative bookings will be confirmed by the Booking Manager after establishing bed availability. You will receive an invoice from the Booking Manager once bed(s)/rooms has been allocated for your booking and you may then proceed to pay for your booking using the online payment system. Once payment has been verified by the Booking Manager your booking will be confirmed.

Only online payments through the Booking System are accepted to confirm your booking as we are unable to accept electronic funds transfer or cheques.

In the interest of fairly offering accommodation to all our members and associates, payment for a Tentative Booking must be made within 30 days (not 30 days prior to your arrival) or payment is due immediately if you book within 30 days of your stay.

Please note, Tentative Bookings may be cancelled without notice if not paid in full within the above timeframes.

(d) Cancellation

If you cancel your booking 30 days prior to your arrival then you will be refunded in full.

If you cancel your booking within 30 days of your arrival your payment is non-refundable unless it relates to an infectious medical condition (see details below).

In the event of a non-refundable cancellation within 30 days, the Booking Manager will take reasonable steps to resell the booking. If it is possible for Berghütte to resell all or part of your booking you will be entitled to a full or partial refund less 10% processing fee.

Travel insurance policies may cover loss of accommodation payments. We highly recommend members explore such options.

(e) Check-in

Check in time is 2 pm. If you arrive early please do not access the car park until after 11 am, or your room until 2 pm, unless otherwise agreed in advance with the Lodge Managers.

What to bring: You need to supply your own bathroom towels and bathroom linen. As you may be required to undertake COVID-19 testing at the Lodge you should bring your own supply of Rapid Antigen Tests. You may also be required to wear a mask inside the Lodge so you should bring your own supply.

(f) Check out

Check out time is 10 am which includes your room and Berghütte car park. You room must be cleared of all your belongings, rubbish removed to the bins next to the stairs in the car park, any crockery or glassware returned to the kitchen and linen stripped off the beds prior to your departure. Please ensure you have removed all your food and drinks from the communal fridges and storage areas. The cost for cleaning your room on departure is included in the tariffs. Please remove your car from the car park by 10 am on the day of your departure.

(g) Members are responsible for their associates

You agree that if you are booking for associates you are responsible and liable for your associates at all times, including any damage, loss, outstanding payments or unsatisfactory behaviour even if you are not staying at the Lodge at the same time. It is your responsibility to make your associates aware of these Terms and Conditions, Lodge Rules and Information, Policies and Procedures and other rules of the Lodge (see website or the Lodge Managers for more details).

(h) Security

When your booking is confirmed, you will receive an email with the front door code and you agree to keep this code private and only share it with members and associates associated with your booking. You will ensure that all external doors of the Lodge remain closed and locked during your stay when not in immediate use.

Berghütte Ski Club is not responsible for your personal belongings in the Lodge at any time. We encourage you to implement your own security measures whilst at the Lodge.

(i) Access to the Lodge

The Lodge Managers and Directors reserve the right to deny entry or terminate accommodation services should we consider that it is not in the best interest of Berghütte Ski Club. Cancelled accommodation in these circumstances will not be refunded.

(j) Force Majeure

The Lodge is located in an extreme climatic environment which can range from bushfires in summer, to blizzards in winter. You accept that Berghütte will not be responsible for any loss of enjoyment, injury, illness, changes or cancellation during your stay that is occasioned by the effects of bush fires, excessive snow, ice, rain and storm activity, infectious illness, any other natural phenomenon or circumstances beyond our control.

5. Medical Conditions and Infectious Illness

(a) Medical Conditions

If you have a medical condition that may affect your ability to stay at the Lodge you must consult with your health practitioner prior to your stay to determine:

  • if you have any medical conditions that may impact on your health, safety and wellbeing when staying at the Lodge and / or;

  • if the medical condition(s) may impact on the health, safety and wellbeing of other members or associates of the Lodge and / or;

  • if the medical condition(s) may impact on the operations and management of the Lodge; and

  • if you are unsure if your medical condition(s) may impact any of the above, you agree to consult your health practitioner and seek their advice.

Based on the above, and prior to your stay at the Lodge you will provide a medical certificate or letter from your medical practitioner to Berghütte Bookings acknowledging:

  • It is safe for you to stay in a shared residential ski lodge with communal living and dining arrangements;

  • That parts of the Lodge have limited natural airflow and no air conditioning;

  • The Lodge has multiple internal and external staircases and external access maybe affected by snow and ice; 

  • You will be in potential close contact with a range of persons from newborn to the elderly.

The medical certificate or letter should also advise any adjustments or special considerations that need to be considered by Berghütte for you to safely stay at the Lodge. Berghütte will then assess if these adjustments can be reasonably accommodated prior to your booking being accepted.

You acknowledge that due to privacy reasons you do not have to disclose the exact nature or confidential information of the illness unless this is a legislative requirement.

Any medical consultation(s) and obtaining written medical evidence will be at your own expense.

Further, you accept that your booking may be cancelled at any time, including during your stay at the Lodge if your medical condition(s) presents a risk to the operations of the Lodge and / or if the Lodge cannot reasonably accommodate the requirements of your medical condition.

The Directors reserve the right to obtain independent medical and other advice to inform their decision making if this is deemed appropriate.

(b) Infectious Illness at the Lodge

You acknowledge that it is a shared responsibility between Berghütte, members, associates, visitors and staff to work together to keep everyone safe by preventing and responding promptly to any potential outbreak of infectious disease whilst staying at the Lodge, including COVID-19, cold, influenza and gastrointestinal illness.

You and your associates agree to comply and follow all the directions of the Berghütte Board of Directors and the Lodge Managers to minimise the risk of transmission of infectious illness in the Lodge in a timely and respectful manner.

Due to the communal nature of the Lodge, limited natural airflow (closed windows in winter, enclosed corridors and no air conditioning) and being in a rural / remote area, Berghütte encourages all members, associates and visitors to be up to date with COVID-19 and any other relevant vaccinations. Vaccination is recommended but not required for staying or visiting the Lodge.

The Lodge Managers will advise you if a COVID-19 test is required before and/or during your stay. You agree that the tests will be done at your own expense. Please bring your own supply of Rapid Antigen Tests for this purpose.

During your stay at Berghütte you will protect yourself and others with a high standard of hygiene, physical distancing and infection prevention practices as required by the Lodge Managers and Berghütte’s Managing an Infectious Illness Procedure.

  • You agree to comply with all infection prevention practices as required by the Lodge Managers including:

  • physical distancing

  • regular washing and sanitising of your hands and covering any cough or sneeze;

  • only entering the bedroom and ensuite bathroom you have been allocated, the communal bathrooms excepted; ie you must not enter other bedrooms.

  • minimising the number of personal items you bring to shared communal spaces including coats, gloves, goggles, glasses, bags, phones, toys, etc. and you will not place these on communal surfaces such as tables, lounges, chairs, etc.

  • agreeing to supply and wear masks over your nose and mouth indoors in hallways and other communal areas if required and if you develop any symptoms of infectious illness whilst staying at the Lodge.

  • having your body temperature checked by a temperature scanner and the results recorded at the beginning and any time during your stay by the Lodge Managers if requested.

You accept that due to the residential nature of the Lodge you are not able to work, stay or visit the Lodge if you have:

  • even the mildest symptoms of COVID-19 or any infectious illness, such as cold, influenza or gastrointestinal symptoms;

  • tested positive to COVID-19 or influenza within the last 7 days;

  • arrived from overseas within the last 7 days;

  • been in close contact with a person either suspected or confirmed with COVID-19 or other infectious illness during the past 7 days.

You accept that if you or any party of your booking meet any of the criteria defined in the paragraph above:

  • Prior to your stay, you will not travel to the Lodge and your booking will be cancelled and a credit or refund maybe provided if you provide a medical certificate or evidence of a positive COVID-19 test.

  • During your stay, you will immediately isolate in your room, advise the Lodge Managers on 0475 825 291 and agree to follow Berghütte's procedure on Managing an Infectious Illness which includes vacating the Lodge as soon as it is safe to do so (eg if you become unwell in the evening, leave first thing the next morning).

  • If you are too unwell to travel home, please contact the Managers who may be able support you in finding alternative accommodation. You agree not to return to the Lodge until you provide evidence of medical clearance at your own expense (eg letter from your medical practitioner).

Berghütte will consider full or partial refunds for infectious medical conditions. You acknowledge that due to privacy reasons you do not have to disclose the exact nature or confidential information of the illness unless this is a legislative requirement, but you must advise the Lodge Managers that you have symptoms of an infectious illness so that consideration can be given for a credit or refund. To obtain either a full or partial credit / refund for any unused accommodation you must provide medical evidence at your own expense (eg photo of positive Rapid Antigen Test or a Medical Certificate) to the Booking Manager to support your request for a credit or refund.

6. Kitchen and Dining arrangements

(a) Winter

During the winter season the kitchen operates as a commercial kitchen and is therefore off limits to members, associates and any other unauthorised person. You agree you will not access the kitchen at any time without the prior approval of the Lodge Managers.

Members and associates are expected to be punctual for meals and inform the Lodge Managers if they do not require a meal.

  • Breakfast is from 7.30 am to 8.30 am only. 

  • Dinner is from 7 pm to 8.30 pm

  • Dinner for Children is at 6 pm. 

  • Children's meal times: Adults are required to supervise their children at all times during breakfast and dinner and assist in serving, clearing and cleaning up the Dining Room.

  • If children under 3 require a small portion of a children’s meal please advise the Lodge Managers.

  • Juniors (ages 14-17) are entitled to an adult meal and they may choose to dine with either the Adults or the Children. Please inform the Chef on your arrival at the Lodge which meal service they prefer, noting that any changes to their chosen meal time during their stay is done in consultation with the Chef.

A member’s kitchenette is provided in the dining room area for food preparation including snacks, simple lunches etc. It has a convection microwave oven, sink, fridge, and a small dishwasher. It is not designed for the preparation of full meals. You are required to keep this area clean and tidy at all times and to clean up immediately after use.

You agree that if you use any of the communal refrigerators and cupboards for storage of your own food you will remove/dispose of these prior to your departure from the Lodge.

(b) Summer

During the summer months the kitchen will be open for self-catering and you agree to clean up and sanitise the kitchen and dining room completely and immediately after each meal. If the BBQ is used, it should be cleaned prior to your departure or a cleaning fee of $100 will be applied to your account.

You agree to keep all communal areas clean, including the kitchen, dining room and downstairs bathrooms; regularly vacuum and mop common areas if they become dirty, and regularly remove all rubbish and recycling to the bins next to the stairs in the car park.

Complimentary tea, coffee, sugar, pepper and salt are available for you use. No milk or other condiments or food are supplied. Please bring your own and you agree to remove all your food and drinks from the Lodge when you leave.

The white fridge in the kitchen is for the Manager’s personal use and you should not access unless the fridge is empty when you arrive.

7. Berghütte Car Park

Parking at the Lodge is a privilege not a right and access is via the Lantern Apartments driveway and car park. You agree to maintain good relationships with our neighbours by entering and leaving the Lantern and Berghütte car parks in a respectful and courteous way by riding or driving slowly, safely and patiently and you will not park or block access in the Lantern Apartments car park even for a short time.

Priority parking is for members first, then associates. Only motor bikes or cars can be parked. You must seek prior permission from the Lodge Managers to park trailers, trucks or other types of vehicles. Only one vehicle per room can be parked in the Lodge car park to a maximum of 10-12 cars.

Where, if and how you park in the Lodge car park is at the discretion of the Lodge Managers.

Parking in the Lodge car park is at your own risk and Berghütte is not liable for any loss or damage to your property.

If the car park is at maximum capacity, you may unload your vehicle in the carpark and then move it to a public car park (shuttle buses are available during winter and stop at the entrance to the Lantern Apartments).

If you park in the car park, you must put your keys in the Car Key Box in the Dining Room and write your car registration, room number and mobile phone number on a tag and place it on your keys. This will enable the Lodge Managers or other members or associates to move your car.  Please note, this is at your own risk.  If you do not wish for your car to be moved you should park in a public car park.

8. Booking disputes

In the event of any dispute in relation to bookings, or cancellations of bookings, the Booking Manager and the Directors will make a final decision.

9. Summary

You accept that Berghütte will not be responsible for any loss of enjoyment, injury, illness, changes or cancellation during your stay that is occasioned by the effects of bush fires, excessive snow, ice, rain and storm activity, infectious illness, any other natural phenomenon or circumstances beyond our control.

You accept that dogs and other pets are not permitted in the Kosciuszko National Park and no animals are permitted in the Lodge.

By confirming and paying for your booking you accept and agree to the following and that you are responsible for you and your associates adhering to:

  • The Terms and Conditions of Booking as stated herein and

  • Berghütte Lodge Rules and Information and Managing an Infectious Illness Procedure.

  • Berghütte Policies and Procedures (available at the Lodge or on the website)

  • You accept that if you breach any laws, regulations and rules related to the safe operation of the Lodge premises which results in a fine, fee or penalty, you will be liable for your own costs and you agree that Berghütte may seek reimbursement from you for any costs incurred by Berghütte as the result of your behaviour and conduct.
